Information
Information is a convey of knowledge, communication, or information on a particular fact. In the Hotel the Information desk is situated at the front office. It also provides information regarding outside and inside of the hotel’s rules and regulations, facilities, services. It also handles the e-mail, fax, Xerox machine, cable through the business center.
Cash
This section is a very sensitive area and is located at the front desk which is handled by the front cashier. The cahier always tries to secure payment from the guest at the time of arrival or before arrival. This department has a right to change foreign currency as per the rules and regulations of the hotel and with the guidelines of the government norms. Every hotel has the locker facilities for a safe deposit so they manage a safety deposit locker. The cashier has the information of guest check out or if the guest requests an emergency check out before the registered date of check out then the cashier settle down the guest account by collecting information of balance dues from all the department and complete the check out procedure and settle down the account.
Reservation
The term reservation means, to reserve the booking in advance. In precise, It is block or reserve the room of the hotel or seat in a restaurant. The reservation can be taken through email or telephone as per the request. The reservation details or the corresponded are kept systematic and complete. Before making the reservation it has to check the availability and update the chart to respond to the guest. Once received the booking the process of arrangement started. Handling all cancellations and revisit as reservations made by the guest from different sources and modes is a crucial part of this section.
Telephone
Responding and Connectivity is the role of this section, which is located at the back office. This section is handled by the telephone operator Its main function is to handle incoming and outgoing calls. It is also responsible for managing wake-up calls as requested by the guest and preparation of telephone bills made by guests and staff.
Lobby
It is synonymous with the word “Foyer” which means a wide or huge passage or a large hall or just a passage inside the entrance of a public building. It is an area which is located at the entrance of a hotel or public or private building with a sitting arrangement for guests or visitors to meet and wait. The dimension and design of this area rely upon the size and design of the building. The hotel lobby area must be furnished with all the necessary departments and facilities for example:- Lobby desk, Bell desk, GRE/GRO, Reception desk, Cash counter, Restroom, Business center, Safety lockers, etc.
Bell Desk
This desk is responsible for handling the guest luggage during arrival and departure. It is located on either side of the lobby, mostly beside the concierge department needed by the bell captain and followed by bell boys. The bell desk section also handles the storage of luggage, accountability of luggage, paying, deliver guest mail, and messages to the concerned guest room.
Business Center
The business center offers a wide range of services to the guest or a traveler. The person who handles the business center is known as Business Centre attended and the main function of this section is to provide communication facilities and services like computers, STD, ISD, E-mail, internet, fax, Xerox, etc. It allows the guest to work while they are staying at the hotel.
Travel Desk
It is a full-service provider of leisure travel services. This section has a vast destination and airline knowledge and can book the next tour of a guest by arranging the packages, tickets, etc for the guest as per their request.
